Data We Process

We process account name, email address, account identifiers, conversation notes, extracted people/topics/follow-ups, billing entitlement data, product usage counters, and support messages you send us.

Conversation notes may include names, roles, companies, reminders, dates, and other relationship details that you choose to type, paste, dictate, edit, or save in the app. We collect this information directly from your account activity and from the fields you submit.

AI Processing

With your in-app permission, RecallIQ sends your conversation notes and optional conversation details, such as date, conversation type, location, and names you entered, to Google Vertex AI/Gemini. Google processes this content so RecallIQ can generate summaries, extract people and follow-ups, create embeddings where configured, and answer memory questions from your saved records.

When you use Ask memory, RecallIQ also sends your question and the relevant saved conversation records needed to answer it to Google Vertex AI/Gemini. Siri-assisted capture uses Apple dictation for spoken text first; RecallIQ does not send that draft to Google Vertex AI/Gemini unless you later choose an AI feature and grant permission.

Google Vertex AI/Gemini is a Google Cloud AI service. We use it as an infrastructure provider for these user-requested AI features, and we share this content only for those processing purposes. Google Cloud is required to protect this data under its cloud data processing terms and security controls. Google Cloud documentation states that Google will not use customer data from Vertex AI to train or fine-tune AI/ML models without the customer's prior permission or instruction, though Google may process limited data for service operation, safety, and abuse monitoring as described in Google Cloud terms and documentation.

Service Providers

RecallIQ uses Firebase Authentication and Firestore for account and data storage, Google Cloud Vertex AI/Gemini for AI processing, SendGrid for transactional email where configured, and Apple, Google Play, or Stripe for billing depending on how you purchase a subscription. These providers process data only as needed to provide, secure, support, or bill for RecallIQ.

Controls

Signed-in users can export their data or delete their account from Settings. Account deletion removes the Firebase Auth user and associated RecallIQ Firestore records. You can choose not to grant AI processing permission, but AI summarization, extraction, and memory-answer features require that processing.
